HongKong Everybody’s Friend Decoration Design&Engineering Co., Limited (“we”, “us” or the “Company”) respects the privacy of personal data. This Privacy Policy applies to our website, online project enquiry/contact forms, and related communications made through the website.
We handle personal data in accordance with the Personal Data (Privacy) Ordinance (Cap. 486) of Hong Kong (the “PDPO”) and the applicable Data Protection Principles. This Policy explains what personal data we may collect, how we use and retain it, the classes of persons to whom it may be disclosed or transferred, and how you may exercise your rights of access and correction.

1. Personal Data We Collect

When you submit information through our project enquiry or contact forms, we may collect:

  • your name and company name;
  • telephone number and email address;
  • project location, project type, expected start time and project description;

  • other information you voluntarily provide when communicating with us.

When you browse the website, our web server or service providers may also log technical information such as IP address, browser type, operating system, pages viewed, access time and related usage data. Unless combined with other information in a way that identifies an individual, such technical information is generally used only for website operation, security, troubleshooting and service improvement.

2. Purposes of Collection and Use

We collect and use personal data only for purposes directly related to our business and reasonably necessary for those purposes, including to:

  • understand and respond to your project enquiry;
  • contact you and arrange initial discussions, meetings, site surveys or other pre-project activities;
  • prepare proposals, recommendations, quotations or other project documents based on an agreed scope of works;
  • handle matters relating to design, construction, project management, delivery and after-project communications during a project;
  • manage project files and communication records that you provide to us;
  • operate, secure and improve the website and its content; and
  • comply with applicable law, court orders or regulatory requirements.

We will not use personal data for a new purpose unrelated to the original purpose of collection unless your consent has been obtained or such use is otherwise permitted by law. We will not use personal data provided through the project enquiry form for direct marketing unless the applicable requirements of the PDPO have been met and the required consent has been obtained.

3. Whether Provision of Data Is Obligatory

Except for fields marked as required, providing personal data is generally voluntary. If you do not provide information required to process an enquiry, or do not provide at least one contact method (telephone or email), we may be unable to process or respond to your enquiry.

4. Disclosure and Transfer of Personal Data

Where necessary to handle your enquiry or project, and for the original or a directly related purpose, we may disclose or transfer personal data to the following classes of persons:

  • relevant personnel of the Company and its Shenzhen parent company who need the information for enquiry handling, design, construction, project management or administrative support;
  • service providers that support website hosting, information technology, email, cloud storage, document handling or other business operations; and
  • government departments, regulators, law-enforcement agencies or other persons where disclosure is required by applicable law, court order or regulatory requirement.

Where personal data is transferred from Hong Kong to Shenzhen, or processed outside Hong Kong by a service provider, for the practical needs of a Hong Kong or cross-border project, we will take reasonably practicable steps to limit use of the data to the relevant purposes and require appropriate confidentiality and security measures.

We do not sell, rent or trade personal data, unless otherwise required by law or with your consent.

5. Retention of Personal Data

We retain personal data only for as long as reasonably necessary to fulfil the purposes for which it was collected, taking into account the nature of the project, communication records, legal or contractual requirements and legitimate business needs. When personal data is no longer required, we will take appropriate steps to delete, destroy or anonymise it.

6. Data Security

We take reasonably practicable administrative, technical and physical measures to protect personal data against unauthorised or accidental access, processing, erasure, loss, use or disclosure. Measures may include access controls, account and permission management, use of systems with security safeguards, and appropriate confidentiality obligations for personnel and service providers who handle personal data. If a personal-data security incident occurs, we will assess the circumstances and take reasonably practicable remedial steps; where appropriate, we will also consider notifying affected individuals and the Office of the Privacy Commissioner for Personal Data, Hong Kong.

7. Cookies and Website Analytics

The website may use cookies or similar technologies to support website functionality, remember necessary preferences, protect website security and understand website traffic and usage. Such technologies may record information including browser/device information, IP address, pages viewed and interactions.

You may manage or reject cookies through your browser settings. Rejecting certain essential cookies may affect website functionality. If we introduce non-essential analytics or other tracking technologies, we will provide appropriate information or choices where relevant to the functionality and applicable requirements.

8. Access to and Correction of Personal Data

Under the PDPO, subject to the conditions and exemptions provided by law, you have the right to request confirmation of whether we hold your personal data, to request access to such data, and to request correction of inaccurate personal data.

Requests for access or correction should be made in writing. We may ask for reasonable information to verify the identity of the requestor and to process the request. A data access request should generally be made using the Data Access Request Form specified by the Privacy Commissioner where applicable. As a general rule, a data access request must be handled within 40 days of receipt in accordance with the PDPO. If we are unable to fully comply within that period, we will provide the required notice and complete the request as soon as practicable thereafter. A valid data correction request will also be handled within the applicable statutory period.

Where permitted by law, we may charge a fee for complying with a data access request, provided that the fee is not excessive. No fee is charged for complying with a data correction request.
